The Role
As a Patient Administration Officer, you'll be responsible for coordinating appointments, managing referrals and maintaining accurate patient records while providing an outstanding level of customer service throughout every interaction. You'll be the first point of contact for many patients, ensuring they feel informed, supported, and welcomed.
Key Responsibilities
- Welcome patients and visitors, delivering a professional and friendly reception service.
- Act as the first point of contact via telephone, email and face to face, responding to enquiries efficiently and professionally.
- Contact newly referred patients promptly to arrange appointments and provide all necessary information.
- Manage patient referrals from receipt through to completion, ensuring all documentation is processed accurately and within agreed timescales.
- Book, amend and coordinate appointments across multiple diaries, ensuring schedules are managed efficiently.
- Maintain accurate electronic patient records, ensuring all information is updated promptly and handled confidentially.
- Liaise with clinicians and internal departments to ensure appointments and patient pathways run smoothly.
- Provide clear guidance to patients regarding appointments, services and next steps in their care.
- Resolve queries professionally, escalating where appropriate to ensure a positive patient experience.
- Coordinate additional support services where required to enhance the patient journey.
- Ensure all administrative tasks are completed in line with company procedures, GDPR and data protection requirements.
- Support the wider administration team and assist with the induction and training of new team members when required.
About You
We're looking for someone who enjoys helping people, has excellent organisational skills and can confidently manage a busy workload without compromising on quality.
- Previous experience within an administration, patient administration, medical reception or customer service environment.
- Excellent organisational skills with the ability to prioritise multiple tasks and meet deadlines.
- A confident and professional telephone manner with excellent communication skills.
- A friendly, approachable, and empathetic attitude when dealing with patients, visitors, and colleagues.
- Experience booking appointments, coordinating diaries, or managing schedules.
- Strong attention to detail and the ability to maintain accurate records.
- The ability to build positive working relationships across multiple teams.
- Confidence using Microsoft Office, including Outlook, Word and Excel.
- Experience using electronic scheduling systems or patient databases would be advantageous.
- A proactive and flexible approach with the ability to work independently and collaboratively.
- Strong problem-solving skills and the ability to remain calm and professional in a busy environment.
Location: Windsor
Contract: On going Temporary role (Possibility of extension)
Hours: Monday to Friday 8:30am - 5:00pm
Pay Rate: £13.35 per hour (Weekly Pay)
