The Events & Partnerships Team plays a vital role in generating sustainable income, enhancing the visitor experience, and supporting the Museum's mission through the delivery of high-quality events and the development of strategic partnerships. Through a combination of exceptional event delivery and mutually beneficial partnerships, the team helps strengthen the Museum's profile, expand its reach, and support its long-term sustainability.
Supporting the Partnerships & Events team, the Partnerships & Events Administrator supports in planning and delivering the events programme as well as building and enhancing relationships with partners of the museum. They will lead on all administration for the planning phases for events and partnerships at the museum. They also contribute to the curatorial and planning phases of new event concepts.
Beyond these core responsibilities, the role involves hands-on support with event setup, operational leadership during public events and experience days, and assisting with wider administrative projects across the department as needed.
Key Accountabilities
Events Administration
- Support with administrative processes within the events team, including corporate bookings, trader contracting and invoicing, scheduling, ticketing, events downloads and customer service.
- Assist in the management of the museum calendar and meeting room bookings.
- Manage the organisation and inventory of events stock and signage.
- Manage key communication channels and social media inboxes, ensuring timely and professional responses.
- Support operational delivery / planning of large corporate bookings.
Partnerships Administration
- Provide administrative support for partnership activities, including contracting, invoicing, and associated documentation.
- Monitor that both the museum and partners are fulfilling their contractual obligations and flag any areas of concern to the Partnerships & Events Development Manager for action.
- Assist the Partnerships & Events Manager with administration related to risk management due diligence on existing and prospective partners to ensure continued alignment with the Museum's values, objectives, and reputation.
Event Planning & Delivery
- Support the Events Operations Manager and Events Coordinator in the operational planning and delivery of public events.
- Operationally lead on small-scale corporate bookings.
- Support in the curatorial and planning phases of new events.
- Support event setup, takedown, and on-the-day delivery.
Cross-Departmental Support
- Collaborate with the wider museum team on projects as needed.
General Duties
- Serve as the primary point of contact for incoming telephone enquiries, providing professional customer service on behalf of The Tank Museum team.
- Attend key meetings, taking and distributing minutes as required.
- Support health and safety matters within the department.
What you'll bring
- Experience of working in a customer service environment is essential, with experience of working in a visitor attraction or heritage environment preferable.
- Experience in partnerships, events and budget management is desirable.
- You will be an excellent communicator with great organisational skills and the ability to work unsupervised.
- A desire to work on events both administratively and operationally is a must.
Note: This role is based onsite at The Tank Museum with no option for hybrid or remote work.
