Locality Administrator

Responsibilities
  • Line management of two Clinic Administrators and 15 Clerical Officers; coordinate administration functions across Community localities and sites.
  • Ensure maintenance issues within Community Localities are reported through the correct channels.
  • Perform a broad range of clerical tasks, including IT skills such as spreadsheets, word processing, e mail, basic keyboard skills, and retrieval of information using Child Health systems; manage photocopying, session preparation, and processing.
  • Use the patient data system (EMIS) to book patient appointments.
  • Work as part of a team and carry out tasks set by the Business AdminCo ordinator or Senior Management; maintain knowledge of all services offered within Community Healthcare Localities.
  • Contribute to the recruitment and selection process of administrative staff in accordance with Trust procedures.
  • Manage staff appraisals, one to one meetings, sickness/absence, annual leave, and the coordination of staffing rotas.
  • Provide support and guidance to staff and help new or less experienced colleagues adapt to the workplace, ensuring onboarding and training are of high quality.
  • Apply knowledge of the Data Protection Act, Patient Confidentiality, Risk Management, and Health and Safety procedures.
  • Ensure the smooth running of services in the Community Healthcare setting and maintain coverage during annual leave and sickness absences.
  • Support facilities management services and security/maintenance of multi use clinic sites and centres.
  • Liaise effectively with clinicians and other stakeholders to ensure the smooth running of services.
  • Maintain high quality communication, cascade operational information, and ensure policies and procedures are followed by all A&C staff.
  • Work independently, using initiative, and lead the team by example.
  • Handle confidential information with strict confidentiality, as may be required.
  • Work from any community base across Tameside & Glossop according to service needs and be flexible to support rotas; be a car driver with access to a vehicle.
