Asset Administration Team Leader

Due to an internal promotion, our client is excited to offer a brand-new opportunity to join their Assets Management Directorate as an Asset Administration Team Leader. This pivotal role involves leading a small team to ensure accurate data and record-keeping, supporting project surveyors, managing contractor operations, and driving quality compliance and performance improvements.
What You'll Be Doing
- Lead and manage the administration support team within Asset Management.
- Ensure accurate data and records are maintained across the department.
- Provide administrative support for audits and respond to information requests.
- Generate reports to support departmental efficiency.
- Collaborate with the Business Insights team to enable Power BI reporting.
- Organise stock condition surveys covering at least 20% of housing stock annually.
- Oversee data collection and updates in Keystone following surveys and works.
- Manage servicing, inspections, and compliance reporting (e.g., fire risk assessments).
- Record monthly KPIs in Clearview and flag issues.
- Support internal and external audits with consistent and auditable data.
- Manage the NES Energy module and distribute monthly reports.
- Monitor and update Planned Maintenance programmes in coordination with contractors.
- Ensure new assets are correctly entered and documented in Keystone.
- Audit and maintain certificates for cyclical testing, asbestos, EPCs, and tenant refusals.
- Provide IT support and training for Keystone users.
- Drive improvements and implement new modules within the Asset Management system.
- Manage audit actions and ensure timely completion.
What They're Looking For
Essential:
- Experience managing large asset databases and bulk data uploads.
- Strong data manipulation and reporting skills.
- Proficiency in MS Office, especially Excel.
- Understanding of relational databases and reporting tools (e.g., SQL).
- Experience presenting statistical reports to varied audiences.
- Familiarity with handheld data collection technology.
- Previous line management experience.
- Excellent communication and interpersonal skills.
- Ability to generate and implement ideas for continuous improvement.
Desirable:
- Experience with Asset Management databases in similar environments.
- Knowledge of KPI data management and reporting.
- Ability to write complex reports from relational database
