Cult Pens is a leading UK-based ecommerce retailer specialising in premium writing instruments, fine stationery, and creative tools. Covering everyday essentials to enthusiast favourites across fountain pens, inks, and art supplies. We are looking for a Finance & Operations Assistant to support the day-to-day running of the business across finance, ecommerce operations, and supplier management. This is a hands on role at the heart of the business, ideal for someone who enjoys working with both numbers and processes in a fast moving ecommerce environment. What you will be doing: Finance Processing high volumes of purchase invoices across a diverse international supplier base (including specialist pen and stationery brands). Maintaining accurate supplier accounts and resolving queries promptly and professionally. Liaising with the parent company on supplier statements, payment runs, and reconciliations. Raising and managing purchase orders for non trade suppliers. Supporting the preparation of financial, sales, and margin reports across product categories. Assisting with reconciliations between systems (e.g. Shopify, payment providers, finance systems). Operations & Ecommerce Supporting day-to-day Shopify administration and product updates. Assisting with sales, margin, and category performance reporting (e.g. pens, inks, paper, art supplies). Monitoring stock levels across a wide SKU range and highlighting discrepancies, slow movers, or availability risks. Supporting the execution of promotions, product launches, and key trading periods (e.g. seasonal campaigns, new brand launches). Working cross functionally with marketing, merchandising, and customer service to ensure smooth operations and a high quality customer experience. What we are looking for: Strong attention to detail, comfortable working with precision across both financial data and product information. Numerically confident, with solid Excel skills (e.g. lookups, basic analysis). Highly organised, with the ability to prioritise and meet deadlines in a fast paced ecommerce environment. Proactive and hands on, with a willingness to take ownership and improve processes. Interest in ecommerce and retail. Comfortable working across multiple systems and collaborating with different teams.
